Sending domains and deliverability: why we never send from your domain

A past agency burned your domain? That is the most common reason MSP owners tell us they stopped doing outbound. Campaigns for you run on separate sending domains and inboxes that we set up, warm and monitor. Your company email, your inbound deliverability and your client communication stay exactly as they are.

Why does Levante Leads never send from your domain?

Because a burned primary domain would hurt every email your MSP sends, including the ones to your clients. Every campaign runs on separate sending domains and dedicated inboxes, set up for this purpose and warmed before launch. If a sending domain ever picks up a bad reputation, it affects that domain, not yours.

What does a separate sending domain setup look like?

Here is an illustrative example, for an MSP called YourBrand with the primary domain yourbrand.com:

  • Separate sending domains such as tryyourbrand.com, getyourbrand.com and yourbrandhq.com, registered for outbound only
  • Dedicated inboxes on each, warmed before launch
  • Sending volume capped per inbox
  • yourbrand.com untouched, with deliverability monitored throughout

The number of domains and inboxes depends on the size of your list and the pace we agree on. The principle doesn’t change: your primary domain is never part of it.

How long does warmup take?

At least 2 weeks before the first campaign email goes out. We don’t skip that step, because rushing is how domains get burned and junk meetings get booked. After warmup, you can usually expect to see the first meetings within days. More in the FAQ on timing.

How do you protect deliverability once live?

Volume is capped per inbox, so no single inbox sends enough to look like spam. Deliverability is monitored throughout the campaign, and if a domain or inbox starts to slip, it is paused and replaced before it hurts reply rates. Lists are checked by hand before they go in, which keeps bounces low. Every email includes a way to opt out, and opt-outs are honored.

The standards are public, and they are the ones we set the sending domains up against: Google’s Email sender guidelines (SPF, DKIM and DMARC authentication, a low spam rate, an easy way to unsubscribe), Yahoo’s sender best practices (the same authentication and one-click unsubscribe), Microsoft’s requirements for high-volume senders to Outlook (SPF, DKIM and DMARC for domains sending more than 5,000 emails a day) and the FTC’s CAN-SPAM Act compliance guide (accurate headers and subject lines, a physical postal address, opt-outs honored promptly). What these rules mean for an MSP doing outbound is in does cold email still work for MSPs?

What does the MSP need to do?

The MSP doesn’t need to do anything technical. Your DNS, your mail server and your Microsoft 365 or Google Workspace tenant stay as they are. We handle registration, authentication records, inbox setup and warmup on the separate domains. The only thing we need from you is approval of the messaging.

Who keeps the sending domains and inboxes if we stop?

That is written into the terms you see on the second call, before anything is signed, along with who keeps the lists, the ICP document and the approved messaging. Nothing is signed until you have seen every term in writing. More in the FAQ on contract terms.
