Guide

How do you get MSP clients without referrals?

You build a repeatable way to start conversations with businesses that look like your best clients, usually by outbound email in your service area, instead of waiting for them to hear about you. It takes a written ICP, a list checked by hand, messages in the owner’s language, a sending setup that protects your domain, and someone to take the meetings.

Why aren’t referrals enough?

Referrals are how a lot of MSPs win their first clients, and they’re often good clients. The problem is that you can’t plan around them. Some quarters three show up. Some quarters, none. And they depend on the owner’s network, which grows slowly.

If you want a monthly number you can count on, you need a source of new conversations that you control.

Who should you target first?

Start from your best current clients, not from a market report. Look at their industry, headcount, how far they are from your office, what they had before you (a part-time IT guy, break-fix, nothing), what made them switch and who signed. Then add disqualifiers: the businesses that look right but never buy, like a company with its own in-house IT team.

Write it down. That written ICP drives the list, the messaging and how you judge every meeting. Here’s what counts as a qualified meeting.

Where do you find those businesses?

For most MSPs, the best prospects are local: law firms, accounting firms, dental and medical practices and similar businesses within reach of your office. You can pull them by category from local business listings, filter them by area and size, and then check each one by hand. The check matters, because listings are full of closed businesses, wrong sizes and duplicates.

Then find the owner or the person who decides. An email to info@ rarely reaches the person who signs.

What do you say to a business owner?

Owners don’t buy “digital transformation.” They want fewer outages, a clean answer for their cyber insurance form, backups that work and someone who picks up the phone. Write about those, in their words, and keep it short.

Write against what they have now: the part-time IT guy, or break-fix when something breaks. For most small businesses, that’s the real alternative to you, not another MSP.

How do you send cold email without burning your domain?

Never send cold email from your primary domain. If it gets flagged, your everyday email to clients can start landing in spam too. Use separate sending domains and inboxes, warm them for at least two weeks before launch, cap the volume per inbox and watch deliverability the whole time. The sender rules from Google, Yahoo and Microsoft are summed up in does cold email still work for MSPs?

Don’t rush this step. Rushing is how domains get burned.

Who takes the meetings?

Outbound only works if someone shows up prepared. That can be you or a salesperson. Each meeting should come with a short brief: who the business is, why it fits, what they use for IT today and what they want to talk about.

Also make sure you can take on the clients you’re asking for. If new clients would break service for the ones you have, fix capacity first.

Should you do it yourself, hire a rep or use an agency?

Doing it yourself costs your time, and prospecting gets whatever hours are left after tickets and escalations. Hiring a rep means months of recruiting and ramp, plus data, tools and a sending setup, paid whether meetings happen or not. An agency runs the whole thing for you.

Agencies usually charge one of three ways: a monthly retainer, a price per appointment booked, or a price per meeting held. Compare those models before you compare prices. Our guide to pay per appointment vs retainer walks through the difference.

How do you know if it’s working?

Count meetings held with qualified decision-makers, and the clients they turn into. Emails sent and open rates don’t pay your techs.

To know how many meetings you need, work back from the MRR you want. Divide the new MRR by your average MRR per client to get the clients you need. Divide that by your close rate to get the meetings held you need. Divide by the number of months to get a monthly target. The MRR calculator does it for you.

Where does Levante Leads fit?

Levante Leads runs this whole process for independent US MSPs that sell managed IT on recurring contracts. You approve the ICP and every sequence, we never send from your primary domain, and you pay only for meetings held, with no retainer. How pricing works has the details.
