Reply handling and meeting booking: from reply to meeting held

A reply is not a meeting, and a booked meeting is not a held one. Between the two there is qualification, scheduling, a brief, reminders and no-show follow-up. We do all of it. You get a meeting on your calendar with a decision-maker who matches the ICP you signed, and you pay only when it actually happens.

What happens when someone replies?

We answer, usually the same business day. Interested replies get qualified: does the business match the signed ICP on industry, size and region, is the person a decision-maker or the agreed contact, does it hit any disqualifier. Objections get answered. “Not now” gets a follow-up at the right time. Anything that doesn’t fit the ICP is thanked and closed, not pushed onto your calendar.

How is the meeting booked?

Onto your calendar, at a time you have made available, with you or whoever runs your sales calls. The prospect gets the invite and a reminder. You get a short brief before the call.

What is in the meeting brief?

An illustrative example:

  • Company: law firm, 40 staff, 2 offices
  • Contact: managing partner and office manager
  • Why it’s ICP: matches the agreed industry, size and region, decision-maker, no disqualifiers
  • Current setup: one part-time IT contractor, break-fix, no written security plan
  • Wants to talk about: cyber insurance renewal requirements and backups

The brief tells you who you are talking to, why they said yes, and what they want to get out of the call, so you don’t start from zero.

What happens with no-shows?

We follow up and try to rebook. A no-show is never billed, so a low show rate costs Levante Leads, not you. A rebooked meeting becomes billable only once it actually happens. Our guide to what counts as a qualified meeting covers the full standard, including what happens when you think a meeting didn’t meet it.

What if a meeting isn’t ICP?

Flag the meeting and Levante Leads checks it against the written criteria you signed; if it doesn’t fit, you don’t pay for it. The standard is written down before launch precisely so there is nothing to argue about later.

What market feedback do you get?

Which verticals reply and which don’t, the objections that come up, what prospects say they have today and what they are unhappy about, and how messaging changes affected replies. It is useful for your offer, your pricing and your next hire, whether or not you keep doing outbound with us.
