How it works: from first call to meetings held, step by step
You bring the service and run the meetings. We run everything in between. This page walks through the four steps and shows, with illustrative examples, what you have in hand at the end of each one.
Step 1: the intro call
30 minutes, 1-on-1 with Jacopo Vannucci, the founder. The agenda:
- Your current clients and who your best ones are
- Average MRR per client and contract length
- The verticals you serve
- Your MRR target
- What you have already tried
You get a straight answer on whether outbound fits. If it doesn’t, you hear that on the call. If there is a clear fit, we book a second call that covers the ICP criteria, what counts as a meeting held, pricing and terms, and you get the price per meeting held in writing. Nothing is signed until you have seen every term.
Step 2: onboarding
Together we turn your best current clients into a written ICP, with the decision-makers and the disqualifiers, and put in writing what counts as a meeting held. Levante Leads then drafts the sequences for each vertical, and none of them goes live until you approve it.
What you have at the end, as an illustrative example of the onboarding document:
- Industry: law firms, CPA firms, dental practices
- Company size: 20 to 200 employees
- Region: within 60 miles of Dallas, TX
- Decision-maker: owner, managing partner or practice administrator
- Disqualifiers: under 10 staff, in-house IT team, franchise locations
- Meeting held: a decision-maker joins the call
- Sequences: 3 of 3 approved by you
How the document is built is on the ICP and target lists page, and the writing on the cold email messaging page.
Step 3: launch
We set up and warm separate sending domains and inboxes, build your target lists from local business listings in your area, check every company by hand, and roll out the campaigns. Speed is not the goal here: a rushed launch burns domains and fills calendars with junk meetings. Warmup takes at least 2 weeks.
An illustrative example of the sending setup for an MSP whose primary domain is yourbrand.com:
- Dedicated inboxes on tryyourbrand.com, getyourbrand.com and yourbrandhq.com, all warmed
- Sending volume capped per inbox
- yourbrand.com untouched
- Deliverability monitored
Why it is done this way is on the sending domains and deliverability page.
Step 4: meetings on your calendar
Levante Leads answers every reply, checks each interested lead against your written ICP and books the meeting onto your calendar with a short brief. When a prospect doesn’t show, we follow up and look for a new time.
An illustrative example of a meeting brief:
- Company: law firm, 40 staff, 2 offices
- Contact: managing partner and office manager
- Why it’s ICP: matches the agreed industry, size and region, decision-maker, no disqualifiers
- Current setup: one part-time IT contractor, break-fix, no written security plan
- Wants to talk about: cyber insurance renewal requirements and backups
The rest of this step is on the reply handling and meeting booking page.
What does a week of meetings look like?
An illustrative example week, to show what you pay for and what you don’t:
| When | Meeting | Business | Status |
|---|---|---|---|
| Mon 10am | Managing partner | Law firm, 40 staff | ICP, held: billed |
| Tue 9am | Owner | Solo bookkeeper, 2 PCs | Off-ICP: not billed |
| Wed 12pm | Practice owner | Dental clinic, 3 locations | ICP, held: billed |
| Thu 11am | Office manager | Medical practice, 25 staff | No-show, rebooked: not billed |
| Fri 9:30am | Managing partner | CPA firm, 60 staff | ICP, held: billed |
Five meetings booked. One was off-ICP and one was a no-show, so you pay for three. The Thursday meeting becomes billable only if the rebooked call actually happens. The full standard is in what counts as a qualified meeting.
What do you need from the client?
The intro call, onboarding, approving the messaging and showing up to run the meetings. That is the whole list.
How soon do the first meetings come?
The first meetings usually come within days of launch, and launch comes after at least 2 weeks of warmup on the new sending domains. No number of meetings and no start date is promised up front: after seeing your ICP and your market, you get a realistic estimate, not a guarantee.
